Event Planners
How Does Accessibility Apply to Me?
As you are planning and hosting events, it’s vital to consider the accessibility of all events, both digital and physical, to ensure your attendees feel comfortable. Before you send out an event invitation, consider what you can do in the planning stages to make your event or meeting accessible. Such considerations include:
- Event location (e.g. parking, restrooms, accessible routes, accessible online platforms, etc.)
- Marketing
- Accommodation request process
- Signage
- Space setup (e.g. wheelchair accessible seating, standing space, etc.)
- Speaker and participant accessibility (e.g. microphones, captioning, accessible materials, etc.)
- Refreshments (e.g. diet and allergen-friendly options)
It’s important to remember to include an accommodation statement that includes multiple forms on contact on all advertising, invitations, and brochures. Consider the following language:
“If you are an individual with a disability and need accommodations, please contact (name, phone number, email) at least 5 days prior to the event.”
